NATIONAL OPERATIONS SUPERVISOR – WALVIS BAY
The position’s key performance areas are:
Responsible for managing operational and administrative activities of the National Department and major responsibilities include:
• Liaising with customers and prepare quotes within 24-hours after receiving the request and once accepted, creation of waybills and orders on SAP.
• Submission of all waybills and POD’s to Finance Department prior to due dates to ensure that customers are invoices timeously.
• Calculate weekly night-outs, monthly Kilometres, overtime and MDC payments for approval by Short Haul Manager.
• Prioritize and co-ordinate daily schedule according to urgency and work closely with depots and drivers to ensure execution of plans are cost effective, well organised, measured and meeting customer expectations.
• Responsible for ensuring that the loading and transporting of loads is in line with prescribed standards. Implement procedures pertaining to pre/post-trip inspections, loading, signing of loads, packing requirements, regular customer feedback and ensure that these are adhered to at all times.
• Managing 24-hour projects and escorting Cyanide loads and ensuring that these are delivered in line with all the prescribed contract and safety requirements.
• Monitor tracking system throughout the day and follow-up with drivers on a regular basis to ensure specified time limits are adhered to. Use this information to make recommendations to the Short Haul Manager regarding improvement of turn-around times.
• Supervision of National drivers and other National staff members, including the arrangement of annual dangerous goods and other relevant refresher training.
• Ensure vehicles are properly maintained and clean at all times, controlling of all spare keys, and manage/control loading equipment inventory.
• Analyse and review actual service performance against Service Level Agreements monthly and make recommendations to the manager regarding action plans to address contract deviations.
• Submit monthly reports to the manager.
• Perform general office duties and any other duties as may be requested from time to time as might be reasonably expected from this role and in line with ISO 9001:2015 requirements.
The suitable candidate will meet the following requirements:
• Be a Namibian Citizen, have a valid driver’s license- preferably Code C and a valid Code of Conduct (Police Clearance) not older than 3 months.
• Grade 12- A Diploma in Transport management will be an added advantage.
• Have a minimum of 3-5 year’s relevant experience in the transport / logistics industry
• Experience in escorting and transport of chemicals and handling 24-hour projects.
• Must be extremely customer oriented, with excellent interpersonal, communication skills (preferably multi-languages).
• Have good organisational and administrative abilities, be computer literate- all Microsoft applications as well as be proficient in SAP.
• Must have a high attention to detail, excellent time management skills and the ability to work accurately.
• Must have sober habits, high integrity and adhere to principles and values.
• Must be able to work independently as well as in a team and have experience in supervising diverse teams.
• Must be able to handle stress and work long hours.
